Job Description:
Perform purchasing and accounts payable functions; fiscal, secretarial and clerical tasks.
This is
non-represented position.
Skills testing required.
Qualifications:
High School Diploma
Classes or equal work related experience in accounting, bookkeeping, business English and mathematics
Experience in accounting and business software preferred
Customer service experience
Excellent communication and organization skills
Strong knowledge of computer applications, especially MS Office
Maintain a high level of ethical behavior and confidentiality
Ability to work effectively and cooperatively with other staff and general public
Criminal history fingerprint check through WSP and FBI (at employee’s expense)
Essential Functions:
Review purchase order requests for proper documentation, including account codes and administrative approval
Generate purchase orders
Set up and maintain annual blanket purchase orders
Maintain vendor files
Ensure W-9 forms are completed and on file for all vendors
Correlate invoices, compare invoices to purchase orders for accuracy, review blanket purchase order invoices to ensure spending is within allowable parameters
Assemble employee reimbursements, revolving fund, advance travel fund, and petty cash account including distribution of funds and reimbursement warrants for distribution
Produce accounts payable vouchers and act as custodian of all accounts payable records
Assemble warrants and copies of invoices in envelopes and prepare for mail
Email warrant register to the Pacific County Treasurer
Prepare monthly combined Excise Tax Return and file with Dept.
of Revenue
Process ACH for comp tax and retail sales tax and other vendors
Track individual teacher’s professional development expenditures on a monthly basis
Process 1099’s
Serve as custodian of district revolving fund, advance travel fund and petty cash account, including monthly reconciliations
Process National School Lunch Program claims and maintain food service records and reports
Assist with Free/Reduced Application processing, complete annual verification process
Medicaid Administrative Match Coordinator
Input journal entries
Assist Business Manager as needed
Back-up receptionist duties
Ability to work effectively and cooperatively with other staff and general public
Maintains regular and consistent attendance and is punctual to assigned duties
Light secretarial duties
Performs other duties as assigned
Evaluation:
Performance of this position will be evaluated annually in accordance with the provision of the Board’s policy in the evaluation of all employees
Physical requirements:
This job requires prolonged sitting or standing in a typical office environment
