*This position qualifies for a $1000 sign on bonus with half being paid with first check and half after 6 months of employment.
* Clatsop Behavioral Healthcare is seeking a full time Residential Administrative Assistant for the North Coast Crisis and Residential Center (NCCRC)This position will be required to perform a variety of administrative services for Residential/Respite clients and program.
The Administrative Assistant will be responsible for ensuring authorizations are completed and submitted on time.
This position will help monitor and ensure that all admission and discharge paperwork is complete.
The Administrative Assistant will be responsible for tracking a variety of things at the direction of the NCCRC Program Manager and Assistant Manager.
*Essential Duties and Responsibilities* * Greet, welcome, direct and announce clients or visitors’ arrivals to appropriate staff.
* Answer calls, screen, and forward incoming phone calls in a professional manner.
* Input/data entry of new client paperwork and information, client, and staff relationships into their CareLogic chart.
* Run insurance verification (MMIS) every 2 months during stay to monitor for changes.
* Document information in the PHI disclosure log and memo to charts when necessary.
* Assist with admissions, client orientations, provide intake paperwork to new clients, review paperwork for accuracy, process opening paperwork according to new client check list.
* Review discharge paperwork with clients at time of discharge * Track and manage daily activity log in shared drive and send out monthly links to daily activity log to staff.
* Manage and organize NCCRC share drive folders and documents.
* Track and file facility documents * Conduct training and onboarding of new hires and manage new hire binder/training documents.
* Provide training presentations based on OARS to staff and as assigned by Program Manager/Assistant Program Manager.
* Coordinate daily, weekly, monthly tasks with Residential Counselors and provide support to staff.
* Take attendance for meetings, document meeting notes, and send meeting reminders.
* Manage daily calendar, coordinate transportation to and from appointments.
* Make copies of forms running low (releases of information, sign out sheets, etc.
) * Document and process returned mail; re-send letter (if address available).
* Fax release of information forms to appropriate organizations.
* Assist in completing special projects with program leadership.
* Take the lead on menu planning, and grocery shopping, arranging staff for grocery pick up.
* Assist with managing and monitoring of expense receipts, purchase orders, logging expenses and ensuring that they get to finance director in a timely manner.
* Keep record of facility fire drills and schedule monthly drills in accordance with the OARS.
* Attend safety committee meetings and facilitate safety of NCCRC including safety inspections.
* Keep workspace tidy and HIPAA compliant to protect client information.
* All CBH Staff are Mandatory Abuse Reporters per the State of Oregon, as such all staff must be aware of and follow Mandatory Abuse Reporting Policies.
* Other Duties as Assigned *Education and Experience:* * QMHA Certification or ability to get QMHA certification within 30 days of employment.
(QMHA certification must meet the following minimum qualifications:(a) Bachelor's degree in a behavioral science field; or (b) A combination of at least three years of relevant work, education, training, or experience.
